1. Scope and our role
This policy explains how F3 Intelligence Corp. (“F3 Intelligence,” “we,” “us”), the company that operates Field Confirm, handles information when you visit fieldconfirm.com and when you use the Field Confirm software at app.fieldconfirm.com (together, the “Services”).
Field Confirm is operations software used by private investigation and process service agencies and their providers and clients. When an agency uses Field Confirm to manage its work, the information it enters about its assignments — including information about the people its work concerns — is controlled by that agency. For that information we act as a service provider (processor) on the agency’s behalf and handle it under our agreement with the agency. If you have a question about information an agency holds, please contact that agency directly; we will assist the agency in responding.
2. Information we collect
Information you give us
- Account and contact information — such as your name, business email, phone number, organization, and role.
- Sign-in and security information — such as one-time verification codes sent by email or text message, authenticator-app enrollment (stored encrypted), and passkey public keys. We do not receive your passkey’s private key.
- Business and credential records — for agencies and providers, records such as business and professional license details, insurance information, and eligibility status used to decide who can receive work.
- Assignment content — requests, work orders, field attempts, surveillance logs, evidence files, reports, client reviews, and related messages entered by agencies, providers, and clients.
- Billing information — invoice and payment records. Card and bank details are collected and stored by our payment processors, not by Field Confirm.
- Communications — messages you send us, such as walkthrough requests submitted through our website form (name, work email, agency, role, phone, service lines, volume, and your message) or support requests.
Information collected automatically
- Technical and log information — such as IP address, browser type, device information, pages requested, and timestamps, recorded by our hosting and security infrastructure.
- Audit records — inside the software, a record of who performed each action and when, kept so agencies have an accurate history of their work.
Biometric information
Some optional identity-verification features may use biometric checks. Where such a feature is enabled, we provide a specific notice and obtain any consent required by law before any biometric information is collected, and we retain and delete it as that notice describes. These features are not used on this website.
3. How we use information
- To provide, operate, and secure the Services, including signing you in and verifying your identity.
- To carry out agencies’ instructions — for example, dispatching work to eligible providers and releasing reports to clients.
- To keep accurate audit records and to detect, prevent, and investigate fraud, abuse, and security incidents.
- To send service messages such as verification codes, notifications, and account notices.
- To respond to requests, provide support, and schedule walkthroughs.
- To process billing, and to meet legal, tax, and accounting obligations.
- To maintain and improve the Services using aggregated or de-identified information.
We do not sell personal information, we do not share it for cross-context behavioral advertising, and we do not use assignment content to advertise to anyone.
4. How we share information
- Within an engagement — the Services show information only to the roles authorized to see it. For example, providers see the bounded offer and the work assigned to them, and clients see what an agency releases to them.
- Service providers — companies that host and operate infrastructure, deliver email and text messages, manage our customer relationships (for example, walkthrough requests are sent to our CRM when walkthrough sending is enabled), process payments, and verify insurance or credentials, acting on our instructions.
- Legal and safety — when required by law or legal process, or when needed to protect the rights, property, or safety of our users, the public, or F3 Intelligence. Where permitted, we will refer requests for an agency’s information to that agency.
- Business transfers — in connection with a merger, acquisition, or sale of assets, subject to this policy.
- With your direction — when you or your agency instructs us to share information.
5. Cookies and tracking
This website does not use advertising cookies, third-party analytics, or session-replay tools. The signed-in software keeps your session in your browser’s session storage, which is cleared when you close the tab or sign out. If we add analytics in the future, we will update this policy first and keep such tools off sign-in, intake, and other sensitive pages.
The walkthrough form keeps an opaque request reference in tab-scoped session storage. It does not persist your inquiry details there. When sending is enabled, a separate journal records request status, linked CRM record IDs, and keyed content digests (HMACs), without storing the inquiry body. Walkthrough sending is disabled by default and remains unavailable unless its required configuration is complete.
6. Retention
We keep account information while your account is active and for a reasonable period afterward. We keep assignment content and audit records for as long as the agency’s agreement and instructions require, and as needed to meet legal, regulatory, or dispute-resolution obligations. When information is no longer needed, we delete or de-identify it.
Terminal walkthrough journal records are marked for expiry after 30 days; this is not a promise of deletion at an exact time. Unresolved journal records are retained for reconciliation. This journal expiry does not set the retention period for the inquiry stored in the CRM.
7. Security
We protect information with measures such as encryption in transit, encryption of sensitive authentication secrets, multi-factor authentication, role-based access limited to one verified role and organization at a time, and audit records written together with each change. No system is perfectly secure, and we cannot guarantee the security of information transmitted to us.
8. Your choices and rights
Depending on where you live, you may have rights to request access to, correction of, deletion of, or a copy of your personal information, and to appeal a decision about your request. To make a request about your own account, email trevor.b@f3intel.com. We will verify your request before acting on it. For information an agency controls, we will forward your request to that agency or ask you to contact it. You can opt out of non-essential email at any time; we will still send messages needed to operate your account.
9. Children
The Services are intended for businesses and adults. They are not directed to children under 18, and we do not knowingly collect personal information from children through this website.
10. Changes and contact
We may update this policy as the Services change. We will post the updated version here with a new “last updated” date and, for material changes, give notice through the Services. For questions about this policy, email trevor.b@f3intel.com. See also our terms of service.
